Destiny Rescue - Partnerships Team Assistant 

Destiny Rescue Australia is looking for an administrative assistant to support our Partnerships Team with supporter engagement and fundraising activities. The ideal candidate will be a self-motivated, problem solver who has excellent communication skills and impeccable attention for detail. The candidate should have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential in this position.

This will be a hybrid role based in Sydney, working from home and in the Chatswood office and will report to the NSW Team Leader. You will be responsible for providing administrative, Salesforce and event support to the NSW and VIC teams.

This is a full-time position but part-time applicants will be considered.

 Qualifications & experience 

  • High school diploma or equivalent
  • Proven administrative experience
  • Superb written and verbal communication skills
  • Strong time-management skills and multitasking ability
  • Aptitude for learning new software and systems
  • A current Drivers Licence

 

  Tasks & responsibilities 

  • Conduct and present research to facilitate Partnership Managers (PM) activities.
  • Manage organisation information systems and calendars relating to PM activities and donor milestones.
  • Plan, organise, and schedule company meetings in the office, off-site, and via videoconference.
  • Coordinate domestic and any international travel arrangements for PMs. 
  • Provide database and system support for PM activities. 
  • Collaborate and support team activities.

Job Responsibilities

Key Result Area

Responsibilities

 Conduct and present research to facilitate PM activities.

  • Consult with team Leaders (TLs) and Partnership Managers to Develop Prospect research profiles identifying driver  and motivation for giving.
  • Research relevant industries for prospect targeting using TLs approved research parameters and format 
  • Collate data to assist PMs proposal submissions.
  • Assist PMs in sending donors proposals, reports & updates.
  • Present research outcomes using approved format.
  • Collaborate with PMs to ensure research outcomes are utilised effectively. 
Manage organisation information systems and calendars relating to PM activities and donor milestones.
  • Develop and build lists and manage data to enable relational expansion with Churches, individuals, Corporates and businesses.
  • Liaise with the marketing team to coordinate telemarketing and PM phone engagement requests.
  • Collaborate with PMs to develop effective donor journey management processes including assisting with recognition  of donor milestones.
  • Facilitate PM requests for marketing collateral and coordinate activities between PM’s and Marketing team.
  • Coordinate events in partnership with PMs ensuring the following are completed:
    • identifying suitable venues
    • collating supplier costings 
    • producing run sheets 
    • collaborating with PMs and Marketing ensuring collateral arrives on time
  • Supporting PMs with regional tour events including the following:  
    • assist setting up appointments 
    •  identifying suitable venues and costings 
    •  facilitating logistics for events such as documentary screenings
  • Remain informed via staff meetings and Partnership Team emails of current marketing campaigns to be able to convey to donors and comply with necessary record keeping.
  
  • Update internal databases to ensure current and future donor contact information:
    • adding notes, 
    • adding emails, 
    • scanning and uploading documents.
  • Support PMs by troubleshooting PM Salesforce operations and data entry tasks.
  • Attribute opportunities to relevant staff/campaigns and distribute tasks, contacts, and leads to the Partnership Team.
  • Manage Salesforce organisation data management by updating, correcting and joining affiliate contacts.
Collaborate and support team activities 
  • Attend and contribute to organisation and team wide staff meetings.
  • Attend and complete HR Reporting and One on One meeting schedule (including 15Five).
  • Take notes and action items from Partnership Team meetings.
  • Other duties as required.
